I had huge, ambitious goals, but I was stuck. I could barely stay on top of my existing responsibilities. Where would I find the time for my dreams…building a business, traveling the world, spending more time with my family?

Quick story:

I had a coworker named Linda at an old job.

I’m guessing maybe Linda was happy at one point in her life… but that point was long gone by the time I got there.

By that point, Linda was putting in 10-hour days at a job she hated. 3-4 of those hours were spent on email, because she prided herself on always responding to emails in 5 minutes.

Probably at least 1 hour of her workday was spent shooting daggers at any of her coworkers who dared to have conversations near her. COULDN’T THEY SEE THEY WERE DISTRACTING HER?

But the truth is…everyone works in a distracting environment. Even me, working from home—I still have Facebook and World Cup scores to distract me.

But back to Linda. Take a wild guess: was it her dream to be 61 years old, spending 3-4 hours a day checking email, and feeling constantly distracted and pulled in a thousand different directions every day?

Of course not.

Guess what Linda’s dream was when she was in her 20s? To open an independent publishing house for high quality fiction and nonfiction.

But somewhere along the way, that dream died. Just like somewhere along the way, my focus and discipline died.

I don’t like to be pessimistic, but I have to tell you…there are SEVERE consequences to not solving your productivity problems now.

For example…

If you can’t focus, you can’t do real work. You’re doomed to spend 99% of your time checking email, organizing your task list, attending meetings, and doing other superficial tasks.

Meanwhile, the few people who can focus are the people who will get promoted around you, or build more successful businesses…because with the ability to focus comes the ability to execute on ideas. To get real stuff done—and get rewarded for it.

If you never conquer procrastination, you’ll become known as the person who always gets work done just on time…or late…and always with a few mistakes. You’ll also suffer unnecessary stress (and increased risk of stress-related diseases), lost sleep, and missed time with your family.

If your schedule is REACTIVE, meaning it’s totally dictated by distractions and other people’s demands on your time, you will literally NEVER have control of your own days. People will NOT treat your time like it’s valuable. They’ll treat it like something you owe them.

And if you never get control over email, you’ll be RULED by the emails other people send you. Do you really want to spend your entire life checking email every 5 minutes? Is that why you were put on this earth?

Add that all up, and you have a recipe for DECADES of wasted time.

Decades of time spent on busy work that doesn’t matter in the long run.

Decades spent processing email nonstop, like a man bailing water in a sinking boat.

Decades spent never having time for yourself.

Decades spent deferring your dreams…until it’s too late to accomplish them.

I recommend you do the “tombstone test.” What would you be remembered for if you died tomorrow? When I did it 10 years ago, I realized my obituary might as well have said, “Thanh Pham had a lot of potential…”

How Jeff Published a Book and Became a Keynote Speaker— While Working 60-Hour Weeks and Raising 4 Kids

How do you increase your productivity?

Reading GTD is a good place to start (that’s where I started 10 years ago). Reading about Inbox Zero is cool. But in a world of constant distractions and demands on your time, it takes a LOT more than that to see real results.

It requires making 4 critical shifts in how you approach your productivity. I’m going to cover them here.

The 4 Shifts You MUST Make to Become More Productive

Shift #1: You’re Not Lazy
You don’t procrastinate because you’re lazy. You procrastinate because you haven’t mastered motivation. You need intrinsic motivation, through harnessing the power of the Pain & Pleasure Principle. Once you master this, you become a person who gets things done, regardless of what’s going on around you or how you feel.

Shift #2: 99% of People Have the Attention Span of a Goldfish
You’re not uniquely flawed. You’re not a bad person. Focus and self-discipline are lost arts in today’s world. Social media is designed to be addictively distracting. Modern workplaces pride themselves on “open office plans” that might as well be designed to completely destroy your focus. All this distraction erodes focus and self-discipline.

Shift #3: If You Don’t Get Out of “Interruption Mode,” You’ll Never Control Your Own Life
Interruptions and distractions aren’t just a momentary problem. As you mentally and emotionally switch back and forth between tasks, you waste much more time than the interruptions themselves took, until your long-term focus is shot. The sad part is that most people believe they can’t control interruptions. The truth is that you CAN prevent disruptions and interruptions, but you MUST be willing to take responsibility for preventing interruptions and distractions.

Shift #4: There’s No 1 “Right” Methodology to Manage Email
YOUR unique situation demands a specific approach to email. Check once a day, keep email open all day, or blend the two approaches? It completely depends on your needs and situation. If you’ve tried different email management systems before and they haven’t worked, it’s not your fault.
